directly within MyWebGrants exclusively for MyWebGrants users.

Track potential opportunities your organization is considering for application. Track
opportunities you find independently or within MyWebGrants. Gather feedback from your co-workers to help
determine if the opportunity is worth pursuing. MyWebGrants automated email alerts will inform you when the
application is due.

Track all applications your organization creates. Assign sections of the application to
co-workers with due dates. You and your co-workers will receive automated alerts if they do not complete their
sections on time. Track the application's status including editing, submitted, awarded, withdrawn, etc. Attach
your application within the MyWebGrants system for future reference. Route the application to management for
approval. Management can approve the application for submittal or provide feedback on sections that still need
work. Enter comments and feedback from the grantor for future reference.

Awarded applications automatically become grants with all data automatically copied. Grants can
be stored in MyWebGrants with awarded, underway, suspended, closed and archived status. Grant tracking also has
the following subcomponents:
General Information
Track high-level grant information like grantor organization, grant number, year, focus area, contract dates,
project dates, project managers, etc.
Budget
Create a complete budget for each grant including personnel, equipment, travel, etc. costs. Create a separate
budget for each budget period. Route budgets to management for approval. Designate a separate budget line item
for each project personnel including role, utilization, hourly rate, hours utilized, benefits percent, etc.
Project Tasks
Subdivide your project into individual tasks. Each task can have dedicated personnel and a start and end date.
Management and task staff will receive automated alerts when task due dates are approaching or are overdue.
MyWebGrants automatically calculates budgeted versus actual cost of each task.
Timesheet
Project personnel can complete individual timesheets online. Timesheets are divided into budget periods and
individual tasks. On a per task basis, users can complete their timesheets for each project they are assigned
to. Based on the person's hourly rate and utilization, WebGrants will automatically calculate the budgeted
versus actual amounts on each task and grant.
Communication
Capture the details of external communication such as emails, telephone conversations, letters, etc. Create an
entry of each important communication and attach any electronic documentation. This module allows all
information about a grant to be stored in a central location.
Receipts
Keep a record of all expenditures you have encountered on the project. Enter the merchant, items purchased,
date, payment method, amount, etc. Attach a scanned copy of the receipt. Print a report of all expenditures
within a given time period for easy reporting.
Encumbrances
Enter any encumbrances that maybe holding up payment on the project. MyWebGrants automated alerts will notify
when the encumbrance due date is approaching or is overdue. Never miss a payment on a grant again with these
reminders.
Expense Reports
Enter payment information online. Schedule payment requests ahead of time and receive alerts with the submission
date approaches. Attach an electronic copy of the claim within MyWebGrants for future reference. Record date
submitted, date paid and amount. Generate activity report to view project tasks, timesheet details, and receipts
for a given time period.
Status Reports
Enter the status report schedule ahead of time and receive automated alerts before status reports are due.
Designate management and project staff to receive alerts when reports are due. Attach electronic copies of the
report for future reference.
Attachments
Attach any number of electronic documents to the grant for future reference. Electronic documents can include
Word documents, Excel spreadsheets, project plans, images, PDF documents, movies, etc.
